The Zomentum platform allows MSPs to create quotes and collect payments from their end clients. This data needs to be synced with PSAs and accounting software with complete transparency so that MSPs don’t have to enter all this data in other applications manually. The Quickbook Online - Zomentum integration is intended to provide a sync option between both Quickbook Online and Zomentum for your convenience.
Currently, the integration is only available for the US region and is expected to cater to other regions very soon.
How to Integrate?
Navigate to Settings > Integrations tab,
Select Accounting > QuickBooks Online > Click on Connect.
Click on Authorize Quickbooks Online and continue. You will be redirected to the QuickBooks Online login screen.
Enter your credentials to integrate your QuickBooks Online Accounting book into your Zomentum instance. You can also use your Google SSO for QBO here.
When QBO is integrated, Zomentum pulls in the tax codes from QBO and the rates need to match with tax regions and the tax categories created in Zomentum. The taxes should be mapped and the default should be selected.
Once the tax rates are synced, the integration will be completed and saved.
You can also convert estimates to invoices when the quote moves to the won stage after signature and if a quote is won without being sent. If there are any differences in quote line items at the time of invoice conversion in the quantities and price, new estimates will be created and converted into invoices.
How to sync quotes/estimates between Zomentum and Quickbooks Online?
In the document editor, once you make changes to an existing quote, click on ‘More’ on the top right corner, as shown below, to sync the settings between Zomentum and Quickbooks Online. Also, when you send a document, the sync drawer opens up automatically so that you can set the sync settings.
From there, we can sync the client, quotes, and taxes as shown below.
Confirm if you want to sync the client and quote with QuickBooks Online and save.
You can also sync a quote with Quickbooks Online from the document list view.
QuickBooks now offers automated sales tax feature which can automatically do the sales tax calculations for you on your invoices and receipts for easy and accurate filings. If this feature is turned on for your QuickBooks account, you can skip the above tax syncing process.
Adding Zomentum Document ID as your Invoice Number
This is an optional step that can be done in your QuickBooks Online platform to mark the invoice numbers created for Zomentum Documents as the Document ID. To do this, you need to enable Custom Invoice Number in your QuickBooks Online Account. In order to make sure that the numbers do not overlap with any of the automated numberings of invoices in QBO, it is recommended to have Prefixes enabled for Document ID.
