While sharing your quotes and proposals with your signees, you may want to add an extra layer of security to ensure that only the recipients have access to it. You may do so by enabling the One Time Pin feature. Here's a step-by-step guide on how to enable the one-time pin option and control user access.

Enabling one-time security PIN:

  1. Open the document in editor mode.
  2. Click on the Settings option on the right navigation menu.
  3. Click on Document Access.
  4. Toggle on the 'Enable Pin' button

What happens when the signee receives a document with One time Pin enabled:

  • The document will be sent to the signee's inbox. They can click on View Document to open it.

  • The document will ask the recipient to retrieve a Verification Code. They can obtain the code by clicking on the Send Verification Code button.

  • The Verification Code will be sent to the recipient’s inbox.

  • The recipient needs to copy the code and paste it into the Verification Code field of the document. They can securely view the document now.  This ensures that whoever has access to the email will be able to access the document.

Points to remember:

  • The same user can open the document multiple times without asking for new verification codes in a particular session.
  • If the user wants to view the document in incognito mode or logs in at a different time, they will need to request the Verification Code again.
  • They can request the Verification Code five consecutive times.
  • PIN attempts are restricted to ten times. If attempts exceed ten incorrect Verification Code inputs, the document will be locked. It will also block the user from making further attempts—however, the user to retry after one hour.
