How to integrate with Hubspot using Zapier

Zomentum connects with Hubspot using a third-party automation tool called Zapier. Zapier is an online automation tool that connects your apps and services. You can connect two or more apps to automate repetitive tasks without coding or relying on developers to build the integration.

 

Zomentum now has a native integration with HubSpot which should be preferred over Zapier.

Each Zapier workflow (Zapier) consists of a trigger and one or more actions. When you turn your Zap on, it will run the action steps every time the trigger event occurs.

 

With Zapier integration with Zomentum & Hubspot, you can do the following things:

  1. From Hubspot to Zomentum

    1. Create a Client in Zomentum every time a Contact is created (or updated) in Hubspot

    2. Create an Opportunity in Zomentum every time a Deal is created (or updated) in Hubspot

    3. You can also create a Customer in Hubspot every time an Opportunity (or Client) is created in Zomentum.

  2. From Zomentum to Hubspot

    1. Create a Customer in Hubspot every time a Document is approved in Zomentum

    2. Create a Ticket in Hubspot every time a Document is approved in Zomentum

 

Prerequisites

You need a Zapier account to integrate with Hubspot.

    Accepting Zapier invitation

    1. Go to the Settings page.

    2. Select the Integrations tab.

    3. Click on Make a Zap button under the Zapier card.

    4. A right drawer will open. Click Go to Zapier on the drawer

    5. A new tab will open where you “Accept Invite & build a Zap”. 

    Create a Zap in Zapier (for moving data from Hubspot to Zomentum)

    A Zapier workflow (Zap) has two components:

    • Trigger: When the workflow should trigger. Available triggers in Hubspot are

      • New company created

      • New contact created or updated

      • New contact added to a list

      • New deal created or updated

    • Action: The action that needs to be performed once the workflow triggers. Available actions in Zomentum:

      • Create a Client in Zomentum

      • Create a Client Contact in Zomentum

      • Create an opportunity in Zomentum

    The following example will tell you how to Contact from Hubspot to Zomentum whenever ‘Lifecycle stage’ changes to ‘Sales Qualified’ in Hubspot.

    Configure the Trigger

    1. Once you accept the Invitation you will land in Zapier dashboard. Click on “Make a Zap” at the top right

    2. Choose an app → Hubspot 

    3. Choose an event → New Contact Property

    4. Choose Account → Connect your Hubspot account to Zapier

    5. Customize Contact → Choose Lifecycle stage property

    6. Test & Review (you will receive sample data from your HubSpot account)

    Configure a Filter (optional)

    This is an optional step where filter out certain contacts if you want to and only push certain contacts to Zomentum. You can ignore this and go to the next step if you want to push all contacts from Hubspot to Zomentum

    1. Choose app → Filter by Zapier

    2. Only continue if → Select ‘Lifecycle Stage’ from the first dropdown → Select ‘text contains’ from the next dropdown → Enter ‘sales qualified’ in the third field. 

    Configure the Action

    1. In the action section, Choose an app → Zomentum

    2. Choose the Zomentum account (Click on Add new account, if there is no Zomentum account in the dropdown)

    3. Choose an event→ Create a Client User

    4. Map Hubspot fields with the fields of Client User in Zomentum

    5. Turn the Zap on.
