How to Integrate Email with Zomentum

 The Zomentum email integration allows MSPs to sync emails sent from Zomentum with a business email account (Gmail or Microsoft). Our calendar integration syncs Zomentum meetings and tasks in a similar manner.

Prerequisites. Begin with the following:

  1. A Zomentum account
  2. Access to your calendar (supported calendar: Google Calendar, Exchange Calendar, iCal, or Outlook.com

Setup the Integration

  1. Log in to your Zomentum account
  2. Go to Settings > Email Settings > Add Account (this will be used to connect your email and calendar)


  3.  Sign in to your email account and grant access to Zomentum (Nylas is the third-party vendor used to sync data). Once the authentication is complete you will be redirected to the Zomentum page and asked to configure calendar settings

4. Calendar Settings


  1. a. Select between either a two-way or one-way sync for the calendar integration
  • Two-way sync:
    • Zomentum activities synchronize with your calendar
    • Calendar events synchronize to Zomentum as Meetings
  • One-way sync:
    • Zomentum activities synchronize with your calendar
    • Only edits to Zomentum activities in the calendar will synchronize with Zomentum

b. Activity Sync from Zomentum: select if you want to sync just Meetings or both Meetings and Tasks from Zomentum to your calendar

  • Zomentum tasks will sync as 5-minute meeting events in your calendar. 
  • Zomentum does not sync with Google Task or Outlook To Do

c. "Create a contact from attendee list" can add the email addresses of attendees in a calendar invite to your Zomentum Client contacts. This is only applicable if creating an event from your calendar to Zomentum.

  • If you would like to ignore certain domains (e.g. your company’s domain) while creating client contacts, add the details in the section "Specify domains you don't want to create contacts from"



5. On the ‘Emails’ tab, select your preferred email privacy option in Zomentum  

  

6. Click ‘update preference” to complete the process. 

 

 

Edit the Calendar & Email Integration Settings

To edit the sync and privacy options for the Email & Calendar settings, follow these steps:

  1. Settings > Email Settings
  2. Click on the three vertical dots next to your email address and then click ‘preference.’
  3. A pop-up for editing your calendar and email preferences will appear
  4. Click ‘Update preference.’

 

Add Email Alias

An alias is a way to disguise a Microsoft 365 email address. Messages sent to an alias email address will be delivered to the primary email account inbox.

Zomentum only supports outgoing emails from current aliases. To avoid email delivery failures, ensure that all aliases are properly configured in your inbox.

Please note: you will only see the option for adding the Email Alias after you successfully complete Email & Calendar Integration.

  1. Settings > Email Settings
  2. Add Alias
  3. Add the name and email address in the pop-screen                                                                                                  
  4. Click ‘Save.’

 


Add Email Signature

An e-mail signature is a block of text located at the end of e-mail messages containing contact information and other business details and links. You may attach the signature to all outgoing e-mails.

Please note: the option to add an Email Signature is only provided upon successful completion of the Email & Calendar Integration.

 

  1. Settings > Email Settings
  2. Add Signature
  3. Enter the Signature Title and Signature Body on the pop-up screen. There is also an option to upload images and add hyperlinks, as well as logos or links to your social media pages. 
  4. Click ‘Save’

 

 

Delete your Email & Calendar Integration

If you wish to reverse the integration, simply click on the three vertical dots next to your email address and click ‘delete.’
